Proper’s tenancies page is designed with the goal to assist you in your daily tasks. Read on to find explanations of the different views and some examples of how you can utilise the filters on these views to find key information quickly.
Overview
The Overview view is aimed to give you an overview of your current state of your tenancies. You can see who is currently living in your tenancies, including whether a tenancy has a lease that is ending or is vacant. For more information on the different states that a lease can have, have a look here. If you want to view only your actively running leases, simply click on Active. This will filter out any vacant tenancies you may have at the moment.
For landlords or property managers, it is important to ensure that all tenants pay on time. To check which tenants are in arrears, click on the Negative balance option to the right. This will filter your tenancies to only show current leases with a negative balance, sorted by the highest negative balance.
If you have different types of tenancies and want to distinguish between them in the views, you can add relevant data to the lease. The available information will be displayed in the 'Tags' column accordingly.
Vacancies
The Vacancies view allows you to manage current or upcoming vacancies. The view shows a six-month time frame, including the two past months, the current month and the three upcoming months. Additionally, the view provides insights into the financial loss caused by the number of vacancies:
- The rent level per tenancy is based on the previous’ lease rent bill item
- The monthly loss is calculated by adding the rent across all vacant tenancies per calendar month.
Click on a row to access more information about previous or potential upcoming leases.
Drafts
The Drafts page displays all of your drafts that are currently in progress, as well as leases that are pending review by Proper. By clicking on a draft, you can view its status and understand what tasks are still remaining to be completed. Under the Pending review filter, you can see if any of your leases are currently being reviewed by Proper before automation can be enabled. If the list is empty, there are no leases awaiting Proper’s review.
Moving
The Moving view provides an overview of upcoming or recent changes to your leases, grouped by tenancies.
To see how many tenancies have a new lease starting soon, click on Moving in. The view is sorted by the closest move-in date, allowing you to quickly see upcoming relevant days, for instance in order to schedule handover of keys. The Moving out filter works in the same way, displaying upcoming move-outs in order of closest date.
Another use for this view is to ensure that none of your recently moved-out tenants owe you money. Find this information under the Moved out recently filter.
Please note that the Moving view covers a three-month time-frame. That means that for instance leases with end dates further in the future will not be shown here.
