When creating a new tenancy or lease, you have the option to easily copy data from an existing lease.
This can be the setup from the current lease, a recently ended lease, or another lease that contains most up-to-date standards. Proper will duplicate the data from the chosen lease and automatically populate your new lease with the specified information.
The following information is copied:
- Billing settings: This includes the billing schedule (monthly, quarterly, yearly, or custom), due date rules, VAT settings, and whether an invoice should be sent with payment requests.
- Bill items: Proper copies the recurring bill items, such as rent, from the selected lease.
- Rent adjustment: If you have set up NPI, amount, or percentage increase, Proper carries it over to your new lease. Please note that if you have a custom setup, such as skipping certain years, the rent adjustment will not be copied.
- Deposit and prepaid rent settings: To copy the deposit and prepaid rent, Proper looks at the rules you have specified. For example, if you have set up that the deposit is equal to 3 months of rent, Proper will copy that rule and calculate the total amount for you.
- Access and inventory: Information about the included inventory and the common areas the tenant has access to will also be copied over.
- Contract specifications: If there are additional conditions or special terms for a lease they will be copied, allowing you to standardise your contracts across leases.
By copying an existing lease you simply have to set-up the new tenant’s contact information and start dates for the contract and billing and the new lease is ready to go.
If the lease that you copy from does not have all of the above information set-up, Proper copies what is available and prompts you to set-up the missing information:
To check or change the data that was copied you can either use the Update button or the left-hand menu to navigate to the right place to see the information.
Tip: Simplify your leases by creating a draft lease for duplication
If you wish to centrally create and manage a lease that serves as a basis for standardizing your leases, you can create a draft lease for that purpose. In this draft lease, you can fill in the information you want to standardize and then use it as a starting point for any new lease. This can be particularly useful when you want to unify your set-up across leases such as billing settings, deposit collection, or contract terms.
To find the draft lease, simply search for its name when selecting the lease to copy:
