If a tenant is moving into a different unit or apartment within your building, this is handled in Proper by ending the current lease and setting up a brand new lease for the new tenancy.
Because each tenancy is uniquely tied to its own specific bank account and lease terms, you cannot simply change the apartment number on an active lease.
Follow these steps to complete the internal relocation:
-
Terminate the old lease: Go to Tenancies, select the tenant's current lease, and set the end date. You will also need to complete the standard moving-out process and settle any outstanding deposit or prepaid rent balances for this specific unit.
-
Create the new lease: Next, you need to create a new lease for the new apartment unit. Fill in the new rent amount, deposit details, and select the existing tenant's profile. You can follow our guide on how to Add a new lease to Proper.
-
Upload the contract or addendum (Allonge): Generate and send a new tenancy contract via Proper for the new apartment, or upload a signed addendum (allonge) directly to the documents section of the new lease to ensure legal compliance.
-
Update payment details for the tenant: Remind your tenant that the new lease comes with a new, unique bank account number or a new Betalingsservice agreement. They must update their bank transfers or automatic payments to the new account, as the old payment details will no longer be active.
What if the tenant accidentally pays into the old account?
If the tenant forgets to update their bank details and transfers rent to their old apartment's bank account, don't worry. You can easily fix this balance mismatch manually by registering a payment on both leases:
Go to the old lease and register a minus/negative payment (a payout) to even out the accidental payment.
Go to the new lease and register a positive payment for the same amount so the tenant's new balance shows as paid.
